AI agents for email handling and legal support at a law firm
From the email that arrives to the matter properly filed — with the lawyer always deciding what is legal.
The client
A law firm practising in commercial, corporate, employment, real estate, tax and litigation law.
It works with companies, private individuals, foreign investors and professional partners, receiving a significant daily volume of emails, documents, contracts, notifications and requests for analysis.
What the firm already used
For confidentiality reasons, this scenario does not identify a specific firm. It represents a demonstrative implementation model developed by Strong Answer for legal organisations with similar processes.
The challenge
The firm received emails every day relating to:
- New consultation requests
- Documentation sent by clients
- Contracts for review
- Court notifications
- Communications from courts
- Requests for legal opinions
- Employment matters
- Real estate transactions
- Company incorporations and amendments
- Debt recovery
- Requests for updates on matters
- Communications with accountants, banks, notaries and public bodies
Every email had to be read, classified and routed manually. In many cases, the lawyers also had to:
- Identify the client and the matter
- Search for earlier documentation
- Consult the email history
- Locate contracts and opinions
- Analyse attachments
- Identify deadlines
- Draft an initial reply
- Update those responsible for the matter
- Organise the documents in SharePoint
The information was distributed across mailboxes, SharePoint folders, Word documents, PDF files, spreadsheets and Microsoft Teams conversations.
That dispersion made the following harder:
- Finding information quickly
- Keeping track of matters
- Controlling deadlines
- Consistency across replies
- Reusing legal knowledge
- Distributing work efficiently
The solution
We implemented an artificial-intelligence solution integrated with the Microsoft 365 environment the firm already used.
We used Claude as the artificial-intelligence engine to interpret emails, summarise communications, classify requests, analyse documents, extract information, search internal knowledge, draft replies and support the preparation of legal documents.
The integration was built as a controlled layer between Microsoft 365 and the artificial-intelligence service, with permissions, access rules and auditing mechanisms.
Main components
Eight agents, one process
Each agent handles one stage of an email's journey — from arrival to filing. None of them decides legal questions.
1. Legal triage
Analyses emails arriving in the authorised mailboxes and identifies sender, client, legal subject, request type, practice area, urgency, related matter, responsible lawyer, attachments, relevant dates, potential deadlines and missing information. It then routes to the right lawyer or department.
- New prospective client
- Existing client
- Consultation request
- Contract for review
- Court proceedings
- Notification
- Employment matter
- Tax matter
- Corporate matter
- Real estate transaction
- Debt recovery
- Administrative request
- Partner communication
- Billing and fees
2. Client and matter identification
Compares the sender, the subject and the attachments against the authorised information held in SharePoint and Exchange Online to identify the client, the internal matter number, the counterparty, the responsible lawyer and the associated documentation. Where it finds a confident match, it files the email and attachments against the matter — where it does not, the email waits for human validation.
3. Attachment analysis
Claude analyses contracts, notifications, minutes, certificates, deeds, powers of attorney, court decisions and tax or employment documentation, extracting the parties involved, dates, amounts, obligations, deadlines, relevant clauses, renewal conditions, grounds for termination, penalties and missing documentation. The analysis is presented as support for the lawyer, never as a final legal decision.
4. Deadline tracking
When an email or document contains a potentially relevant date — a deadline to respond, a hearing date, a contract renewal, a notice period, a completion date, a tender closing date — the agent identifies it and creates a proposed task or alert, subject to confirmation. Once validated, it is recorded in the management system, in Planner, in Lists or in the internal calendar.
5. Internal legal search
Allows the documentation the firm already held in SharePoint to be searched in natural language: earlier opinions, contracts, precedents, letter templates, powers of attorney, fee proposals, memoranda and previous answers to similar situations. It returns the relevant documents, the related excerpts, the SharePoint location and the associated matter.
- Example: «Find service agreements containing exclusivity, automatic renewal and early termination clauses»
6. Matter summaries
Before a meeting or on taking over a matter, a lawyer can ask for a summary of what exists: client identification, background, parties involved, key events, documentation received, current position, most recent communications, identified deadlines, pending tasks and questions requiring a decision. It cuts the time needed to reconstruct a matter's history by hand.
7. Drafting replies
Prepares a draft adapted to the client, the practice area, the matter, the level of formality, the language and the firm's own templates — acknowledgement of receipt, request for missing documentation, clarification of procedures, proposal of a meeting, status update or a preliminary reply. Replies containing legal advice, legal conclusions or commitments on behalf of the firm are always subject to a lawyer's approval.
8. Document preparation and client onboarding
From approved templates, it prepares first drafts of contracts, addenda, letters, notifications, powers of attorney, minutes, memoranda, opinions and fee proposals — always for review. For a prospective client enquiry, it structures the initial information and prepares the checklist for identification, missing documentation, conflict checks and engagement terms. No client is accepted automatically.
A contract for review, from start to finish
A client sends a commercial lease and asks for an urgent review before signing.
01
Classification
The agent identifies: existing client, real estate law, contract review request, PDF attached, the deadline stated in the email and the lawyer responsible for the client.
02
Filing
The email is filed against the corresponding matter in SharePoint.
03
Initial analysis
Claude identifies the term of the lease, the rent, the deposit, indexation clauses, maintenance obligations, termination conditions, penalties, guarantees and clauses that may need attention.
04
Summary
A summary of the contract is prepared, together with a list of the clauses the lawyer should review.
05
Task
A task is proposed with the deadline the client stated.
06
Reply
The agent drafts an email acknowledging receipt and confirming that the document is under review.
07
Validation
The lawyer reviews the summary, analyses the contract and approves or amends the reply.
08
Filing
The email, the contract and the summary end up organised in the corresponding matter in SharePoint.
A new prospective client
A company sends an email asking for support with an employment dispute.
01
Information extraction
The agent identifies the company, the contact, the employee involved, the type of dispute, the dates mentioned, the documentation received and the urgency stated.
02
Initial check
It searches for existing information about the parties involved and prepares the elements needed for the conflict check.
03
Missing information
It identifies the absence of the employment contract, earlier communications, payslips, the disciplinary file and full identification of the parties.
04
Draft reply
A draft is created requesting the necessary documentation and proposing an initial meeting.
05
Approval
The reply is reviewed before sending, and taking the client on remains subject to the firm's internal procedures.
Three levels of autonomy
In a law firm, protecting information is a central requirement. The solution is configured with autonomy levels agreed in writing before we start.
Automatic
The agent acts without intervention.
- Classifying emails
- Identifying clients and matters
- Extracting information
- Organising attachments
- Creating summaries
- Detecting potential deadlines
- Creating tasks pending validation
- Internal routing
- Drafting replies
Requires approval
The agent prepares and waits for a lawyer.
- Replies to clients
- Requests for documentation
- Fee proposals
- Legal documents
- Summaries sent externally
- Updating deadlines
- Opening new matters
- Communication with courts or public bodies
Restricted
The agent never decides these on its own.
- Legal strategy
- Accepting clients
- Whether a conflict of interest exists
- Final legal interpretation
- Filing court documents
- Contractual commitments and fee levels
- Settlements, admissions and withdrawals
- Legally binding communications
It is this separation that makes the solution compatible with legal practice: the agent organises and prepares, the lawyer decides.
Confidentiality and access control
The solution respects the permissions already in place in Microsoft 365: each user can only see information they already had access to.
The system does not allow a user to consult information on matters they are not authorised to see.
- Multi-factor authentication
- Permissions per client and per matter
- Security groups
- Access logging
- Auditing of actions
- Separation between practice areas
- Control of confidential documents
- Retention policies
- Prevention of improper sharing
- Human approval
- A record of the content generated
What gets assessed before implementation
The Claude integration is configured in line with the privacy, confidentiality and data-processing policies the firm has set. Before proceeding, we assess together:
- Which data may be sent for processing
- Document types that are excluded
- Retention periods
- Where and how the data is processed
- The applicable legal basis
- Confidentiality obligations
- Professional and regulatory requirements
What the project sets out to achieve
In a scenario of this kind, the main objectives are:
- Reduce the time spent triaging email
- Speed up finding information
- Improve how matters are organised
- Reduce the time spent on initial document analysis
- Lower the risk of forgotten emails
- Support deadline tracking
- Improve consistency across replies
- Reduce administrative work
- Let lawyers focus on legal analysis and decisions
- Increase capacity to respond without growing the team proportionally
Illustrative indicators
The figures below are estimated objectives for a project of this kind — they are not proven results from a real client.
- A 40% to 70% reduction in initial triage time
- Document summaries prepared in a few minutes
- A 30% to 60% reduction in the time spent searching matters
- Initial email classification in under a minute
- Automatic organisation of incoming attachments
- More consistent tracking of the deadlines identified
- Less time needed to prepare initial replies and documents

The implementation is not simply about adding artificial intelligence to email. The goal is an integrated and controlled process.
Email received → identification → classification → matter filing → analysis → task → draft reply → human validation → filing
Artificial intelligence applied to legal work
We build artificial-intelligence solutions integrated with Microsoft 365, Exchange Online and SharePoint.
They help law firms organise information, speed up administrative tasks and support legal work — while maintaining confidentiality, access control and human validation at the critical moments.
